Quickstart Guide to Business Time

This short tutorial will guide you through the basics of Business Time - from tracking time to exporting time sheets.
Before we start there are a couple of key concepts that should be understood:

Timers are the blocks of time that you record when you're time-tracking. They always belong to a task.
Tasks are things in your to-do list. A task can optionally belong to a project.
Projects are a way of grouping tasks, contacts , photos, voice memos, notes and timers.
Contacts are people in your Android address book that you might want to link to projects.
Photos can be taken inside the app and attached to timers, tasks or projects.
Audio recordings can be recorded within the app and are often used to attach voice memos to timers, tasks or projects.
Notes are bits of text that you can attach to timers, tasks or projects.
Assets is the collective name for photos, audio and notes - also referred to as "attachments".
Time sheets are groups of timers that you can filter by project, date or task and send as email attachments in CSV format.

The home dashboard

This is the home dashboard. You can return to this screen from any other screen by tapping the Business Time icon in the top left hand corner.

To get your one-tap time-tracking underway, just tap on the "Start timer" icon. This will immediately start time tracking and load the timer dashboard screen. Your GPS location (if available) will also be recorded for this timer.

The timer dashboard

This is the timer dashboard. By the time you get here the timer is running and your location has been saved. You can now close the app by clicking the phone's "home" button (the timer will keep running in your system notification bar).

Attaching a photo

Before closing the app, however, you might prefer to take a photo of the current task at hand - a picture tells a thousand words and clicking the "Attach photo" icon means you don't have to type them all into your phone!

Taking the photo

You will see a fullscreen preview through your phone's camera lens and a photo can be saved to the current timer by clicking the camera button on your phone or by tapping the camera icon on-screen.

Photo saved notification

Whenever you save or cancel anything in Business Time you will get an on-screen notification to let you know how everything went.

Record a voice memo

Voice memos let you dictate information without the need to type lengthy notes. To start, click "Record audio" from the timer dashboard.

Start recording

Simply click the "target" button to start recording sound.

Save your voice memo

The target will turn into a square "stop" icon which you can then tap to stop recording. Alternatively, just tap "Save" to automatically stop recording and save the audio. While recording you will see visiual feedback of the current audio recording level shown as a yellow bar over the microphone icon.

Changing the current task

In the top right hand corner of the timer dashboard you will see a clipboard icon. Tapping this lets you select an existing task for the current timer. By default, a new task is created when you start the timer - but you don't have to use it. Don't worry, though, you can always re-assign timers to tasks and edit all the details at any time - not just while the timer is running!

Selecting an alternate task

A list of incomplete tasks are shown so that you can identify which task you are currently working on. Note the timer icon in the status bar in the top left hand corner - this stays activated while you are time-tracking - even when the app is closed!

When your work is done

When you're work is done, you can return to the timer either from your phone's system notifications list or by re-opening Business Time.

Stop the timer

Just click the "save" button on the timer dashboard to stop and save your timer. Clicking the "cancel" button will stop and discard the timer.

Go back to the home dashboard

Tap the Business Time icon to return to the home dashboard (you can do this from any screen within Business Time).

Working with time sheets

Tap the "Time sheet" icon to take you to the time sheet reporting screen.

Browse your time sheet

The time sheet screen lists your saved timers in reverse chronological order. Tapping on the magnifying glass icon lets you choose exactly which timers you want to see.

Filter your time sheet

From here you can filter by project, task and/or time period - more filter and search options are available from the task list screen, but more on that later! Tap the email icon in the top right hand corner to have your current on-screen time sheet emailed as a CSV attachment.

Customise the columns

Select the columns you wish to include in your CSV - these will be remembered for next time.

Exporting a time sheet

Your email is automatically constructed with a CSV attachment - just enter the recipient and click send.

Open time sheet

Your time sheet arrives as an email attachment in CSV format - which means you can open it in any spreadsheet software such as Open Office or Microsoft Excel. The spreadsheet includes columns for project, project notes, task, task notes, start date and time, finish date and time, duration, street address locations and timer notes.
